This document covers our Terms of Service (Part I), Privacy Policy (Part II), and Data Processing Terms (Part III). Our Privacy Policy is also published on its own at https://readyforward.io/privacy. We may refine this document as our legal review completes; the version posted here with the most recent “Last updated” date is the current one.
1.1 The company. ReadyForward is a service operated by MirrorEdge, LLC ("MirrorEdge," "ReadyForward," "we," "us," or "our"). Our website is https://readyforward.io.
1.2 The service, in plain terms. ReadyForward is a guided-handoff tool for people who are moving. When a business that uses our service (a "Platform" — for example, property-management software, an e-signature product, or a title/closing platform) sends us basic information about a move, we organize that information on our own guidance page and generate a personalized web page (a "Handoff Link") for the person who is moving (the "Mover"). That page walks the Mover through updating their mailing address and points them to the official U.S. Postal Service change-of-address process. All organizing and staging happens on ReadyForward's own guidance page; the Mover then goes to the official USPS site and completes everything there.
1.3 What ReadyForward is not. ReadyForward is a convenience and guidance layer. It is not a filing agent, not a government service, and not the U.S. Postal Service. We help the Mover get ready to update their address; the Mover completes the official change of address themselves.
1.4 Who these Terms are between. These Terms of Service ("Terms") are a binding agreement between MirrorEdge and the Platform that integrates with or uses ReadyForward. The Platform is our customer. The Mover is never a party to these Terms and is never our paying customer. Where these Terms and the Privacy Policy in Part II grant privacy rights to Movers, those rights apply to Movers even though Movers are not parties to these Terms.
1.5 Acceptance. A Platform accepts these Terms by signing an order form or agreement that references them, by integrating with the ReadyForward API, or by otherwise using the service. If you are accepting on behalf of a company, you represent that you are authorized to bind that company.
These three commitments are foundational to how ReadyForward works. They are stated here affirmatively and control over anything elsewhere that might seem to conflict.
3.1 The Mover is never charged. ReadyForward is always free to the Mover. The Platform pays for the service; the Mover pays ReadyForward nothing, at any time, for any part of the service. We do not collect payment details from Movers and we never bill a Mover.
3.2 ReadyForward never files a change of address on anyone's behalf. ReadyForward does not submit, file, or complete a U.S. Postal Service change-of-address request for the Mover or for anyone else. We only stage and organize mailing-address details on our own guidance page and point the Mover to the official process. The Mover personally enters and submits their own change of address, themselves, in the official USPS process at https://www.usps.com/move.
To be explicit: ReadyForward does not pre-populate, auto-fill, or transmit any data into the USPS change-of-address form. Any information the Mover sees on a Handoff Link lives only on ReadyForward's own guidance page; the Mover must personally re-enter and submit all required information directly on the official USPS site.
Neither ReadyForward nor any Platform may state, imply, or advertise — in any wording — that ReadyForward or the Platform files, submits, completes, processes, or "handles" a Mover's change of address. Phrases such as "we file it for you," "we handle your address change," or "your forwarding is taken care of" are prohibited. The only accurate description is that ReadyForward helps the Mover get ready and the Mover files it themselves at USPS.
3.3 ReadyForward only guides Movers to the official USPS process, and is independent of USPS. ReadyForward directs Movers to the official U.S. Postal Service change-of-address page at https://www.usps.com/move. ReadyForward is not affiliated with, endorsed by, sponsored by, or connected to the United States Postal Service (USPS) or the United States Postal Inspection Service (USPIS), or any other government agency. "USPS," "United States Postal Service," and related marks are the property of their respective owner. Any official USPS identity-verification fee (currently a small charge collected by USPS during the official process) is paid by the Mover directly to USPS and never passes through ReadyForward.
4.1 Controller / processor roles. For the Mover personal data a Platform submits to ReadyForward, the Platform is the controller and ReadyForward acts as the Platform's processor / service provider, processing that data only to provide the service and only on the Platform's documented instructions (which these Terms and any order form constitute). The parties' respective data-protection obligations are set out in the Data Processing Terms in Part III, which are incorporated into these Terms by reference. ReadyForward may act as an independent controller for the limited operational data it needs to run and secure the service, and with respect to the Mover-facing Handoff Link as described in Part II.
4.2 Lawful basis to share Mover data. Before sending us any Mover's personal information, the Platform must have a lawful basis to collect that information and to disclose it to ReadyForward for the purpose described in these Terms, and must obtain any consents and meet any legal requirements that apply to it. The Platform is responsible for giving Movers its own privacy notice covering the data it sends to ReadyForward — including that the data is shared with a service provider to help the Mover update their address. ReadyForward does not act as the Platform's agent for delivering that notice. ReadyForward provides its own short, Mover-facing notice at the point of collection on the Handoff Link (see P.3).
4.3 Data accuracy and address validation. The Platform is responsible for the accuracy and completeness of the move information it submits. Where address validation is enabled in ReadyForward's configuration, ReadyForward normalizes and performs a deliverability check on the new mailing address before storing it; ReadyForward does not validate or verify the old address (it is stored as submitted), does not independently verify the Mover's identity, and does not verify the Platform's authority to submit the data. If address validation is not enabled, no external deliverability check is performed. Garbage in, garbage out: we are not responsible for outcomes caused by inaccurate or unauthorized data the Platform sends us.
4.4 Data minimization by design. ReadyForward is built to collect and store only the minimum information needed to guide a move. For each move we store:
Platforms must not send us sensitive identifiers we do not need — for example, Social Security numbers, dates of birth, government ID numbers, driver's-license numbers, or payment/card data. A Platform-supplied reference identifier must be an opaque reference, not a field containing personal data. If sensitive identifiers or CPRA "sensitive personal information" reach us in error, we delete them upon discovery and do not use them (see P.6).
4.5 Acceptable use. The Platform will not use ReadyForward to impersonate USPS or any government agency; to charge Movers for the service; to state, imply, or advertise that ReadyForward or the Platform files, submits, completes, processes, or handles a Mover's change of address (see Section 3.2); or in any way that would place the service in the position of a deceptive or "lookalike" change-of-address site. The Platform will not misrepresent ReadyForward's relationship (or lack of relationship) with USPS.
4.6 Platform credentials. The Platform is responsible for keeping its API credentials and dashboard access tokens confidential and for all activity under its account.
5.1 Who pays. The Platform pays for ReadyForward. This is a business-to-business arrangement. The Mover pays nothing. Charging movers for a change of address is exactly what has drawn enforcement against deceptive third-party change-of-address sites; keeping the service free to the Mover is a deliberate and permanent feature of how ReadyForward is built.
5.2 Metered, per-captured-move billing. Fees are metered based on usage. Each captured move (each move for which a Handoff Link is generated) counts as one billable unit at the rate stated in the Platform's order form, plan, or agreement. Metering is triggered when a move is captured and handed off — not by whether a USPS change of address is later filed, completed, or maintained. ReadyForward's fee is never contingent on an actual change of address being filed. "Completion / status" information is used only as an internal guidance and analytics signal and is not tied to billing.
5.3 Payments via Stripe. Billing is processed through our payment processor, Stripe. Captured moves are metered and reported to Stripe in a periodic billing run; Stripe records the usage against the Platform's billing account and issues invoices. Invoice cadence and accepted payment methods recurring monthly invoicing by card or ACH are as configured for the Platform in Stripe and as stated in the Platform's order form. Stripe processes payment details; ReadyForward does not store Platform card or bank-account numbers. Stripe receives only the Platform's billing-account identifier and usage counts — it does not receive any Mover personal data.
5.4 Design and pilot partners. Some design, pilot, or launch partners may use ReadyForward at no charge during a designated period. If a Platform is a free partner, no per-move fees apply until paid billing is activated for that Platform. We will make a reasonable effort to communicate before switching a partner from free to paid.
5.5 Taxes. Fees are exclusive of any applicable taxes, which are the Platform's responsibility unless the law requires us to collect them.
5.6 Late or failed payment. If an invoice is not paid when due, we may suspend the Platform's access as described in Section 8 until the balance is resolved.
6.1 We do not control USPS. ReadyForward guides the Mover to the official USPS process, but ReadyForward does not control, operate, or guarantee that process. We make no warranty or promise that the U.S. Postal Service will accept, process, complete, or maintain any change of address or mail forwarding, or that mail will in fact be forwarded, on time or at all.
6.2 The Mover must act. Because the Mover files their own change of address with USPS, whether forwarding happens depends on the Mover completing the official USPS steps and on USPS's own systems, timelines, fees, and decisions — all of which are outside ReadyForward's control.
6.3 No outcome guarantee. Nothing in the service, and nothing said by ReadyForward or a Platform, should be understood as a guarantee that a Mover's mail will be forwarded.
7.1 Service provided "as is." To the fullest extent permitted by law, ReadyForward is provided "as is" and "as available," without warranties of any kind, whether express, implied, or statutory, including any implied warranties of merchantability, fitness for a particular purpose, title, and non-infringement. We do not warrant that the service will be uninterrupted, error-free, or secure, or that address validation will be perfectly accurate.
7.2 No professional or government advice. ReadyForward does not provide legal, postal, or government-filing services, and is not a substitute for the official USPS process.
7.3 Third-party services. ReadyForward relies on third-party service providers (subprocessors) to help deliver the service — for example, address validation, email and SMS notifications, hosting, and payment processing. The current subprocessors are listed in Section P.10. We are not responsible for outages, errors, or acts of those providers, or of USPS.
7.4 Limitation of liability. To the fullest extent permitted by law:
7.5 Movers. Because Movers are not parties to these Terms and are never charged, these Terms do not create any contractual liability of ReadyForward to a Mover, and no Mover is an intended third-party beneficiary of these Terms. This does not limit any privacy rights the law gives Movers or that ReadyForward grants Movers in Part II.
7.6 Allocation of risk. The disclaimers and limits in this Section reflect the agreed allocation of risk and are a basis of the bargain. Some jurisdictions do not allow certain exclusions, so parts of this Section may not apply; in that case, our liability is limited to the smallest extent permitted by law.
7.7 Indemnification by Platform. The Platform will defend and indemnify MirrorEdge against third-party claims arising from the Platform's breach of these Terms, the Platform's lack of a lawful basis for sharing Mover data, the inaccuracy of data the Platform submitted, or the Platform's misrepresentation of ReadyForward's relationship with USPS.
8.1 Term. These Terms apply for as long as the Platform uses ReadyForward, and continue while any order form or plan is in effect.
8.2 Termination for convenience. Either party may terminate for convenience on thirty (30) days' written notice, unless an order form states otherwise. The Platform remains responsible for fees accrued through the effective date of termination.
8.3 Suspension. We may suspend or limit a Platform's access, with or without advance notice where circumstances require, if the Platform: (a) fails to pay amounts when due; (b) breaches Section 4 (Platform responsibilities) or Section 3 (the three rules); (c) uses the service in a way that risks legal exposure to ReadyForward or Movers, including anything that could be perceived as a deceptive or lookalike change-of-address operation; or (d) creates a security risk. We will try to give notice and an opportunity to cure where practical.
8.4 Termination for cause. Either party may terminate for a material breach that is not cured within thirty (30) days after written notice.
8.5 Effect of termination. On termination, the Platform's right to use the service ends. Sections that by their nature should survive — including Sections 3, 6, 7, 9, 10, Parts II and III, and any accrued payment obligations — survive termination.
8.6 Data after termination. Move data continues to be handled, retained, and purged under the Privacy Policy in Part II (including the retention schedule in Section P.5), regardless of termination.
9.1 Updates. We may update these Terms or the Privacy Policy from time to time. If we make a material change, we will take reasonable steps to notify the Platform — for example, by email to the Platform's account contact or by posting notice on our website — before the change takes effect.
9.2 Continued use. If the Platform continues to use ReadyForward after an update takes effect, the updated Terms apply. If the Platform does not agree to a material change, its remedy is to stop using the service and terminate under Section 8.
9.3 Current version. The current document is identified by the Version and Last updated date at the top of this page and the changelog in Section 13. The version posted on our website with the most recent Last-updated date is the current one.
10.1 Governing law. These Terms are governed by the laws of the State of Arkansas, USA, without regard to its conflict-of-laws rules.
10.2 Venue. The parties agree that any dispute arising out of or relating to these Terms or the service will be brought exclusively in the state or federal courts located in the State of Arkansas, and each party consents to the personal jurisdiction of those courts.
10.3 Informal resolution first. Before filing, the parties will try in good faith to resolve any dispute informally by contacting each other and negotiating for at least thirty (30) days.
11.1 Entire agreement. These Terms, together with any order form or plan that references them, the Privacy Policy in Part II, and the Data Processing Terms in Part III, are the entire agreement between the parties on this subject and supersede prior discussions.
11.2 Assignment. The Platform may not assign these Terms without our consent, except to a successor in a merger or sale of substantially all its assets. We may assign these Terms to an affiliate or successor.
11.3 Severability. If any provision is held unenforceable, the rest remains in effect and the unenforceable provision is limited to the minimum extent necessary.
11.4 No waiver. A failure to enforce a provision is not a waiver of the right to enforce it later.
11.5 Independent parties. The parties are independent contractors. These Terms do not create a partnership, agency, joint venture, or employment relationship — and, for the avoidance of doubt, they create no agency, partnership, endorsement, or other relationship between ReadyForward and USPS or USPIS.
11.6 Notices. Legal notices to ReadyForward may be sent to legal@readyforward.io and, for privacy matters, to privacy@readyforward.io. We will send notices to the Platform's account contact.

This Privacy Policy explains how ReadyForward handles personal data. It applies to Movers whose data is processed through the service and to Platforms. It is incorporated into the Terms above. Where ReadyForward acts as a processor for a Platform (Section 4.1), this Policy describes ReadyForward's own practices; the Platform remains responsible for its own notice to Movers.
We never sell and never share Mover or move data, and we purge move data on the retention schedule below. This is a product principle, not just a policy.
When you interact with a Handoff Link, ReadyForward displays a short, plain-English notice telling you what data is shown, why, that we never sell or share it, and how long we keep it, with a link to this full Policy and to your rights (Section P.7). The Platform is separately responsible for its own notice to you at the time it collected your data.
We practice strict data minimization. The table maps each category to the U.S. consumer-privacy categories, its source, why we use it, and who may receive it.

We do not collect or store: Social Security numbers, dates of birth, driver's-license or other government ID numbers, financial or payment/card data (Platform billing lives only at the Platform level in Stripe, never per Mover), account passwords or Mover login credentials, free-form notes, IP address / device / geolocation tracking fields, marketing or consent flags, or individual household-member names.
Depending on where you live, you may have some or all of the following rights. These rights are available to Movers even though Movers are not parties to the Terms.
Under the GDPR/UK GDPR (Arts. 15–22): access, rectification, erasure, restriction of processing, data portability, objection to processing, and rights related to automated decision-making.
Under the CCPA/CPRA: the right to know/access, to delete, to correct, to opt out of the sale or sharing of personal information, to limit the use of sensitive personal information, and to non-discrimination for exercising your rights. (As noted in P.6, we do not sell or share, and we do not process sensitive PI.)
Where ReadyForward is a processor for a Platform, we will either honor your verified request directly or forward it to the responsible Platform and assist them in responding.
We take reasonable technical and organizational measures to protect personal data, appropriate to its sensitivity and to the minimal data set we hold:
We do not claim any certification (such as SOC 2, ISO, or HIPAA), "bank-level" security, or that all data is encrypted at rest. We describe only what the service actually does.
Breach notification: if a personal-data breach affecting Mover or Platform data occurs, we will notify affected Platforms without undue delay and cooperate so that affected individuals and regulators can be notified within the timelines required by applicable law (including GDPR Arts. 33–34).
We use the following subprocessors. Each SaaS subprocessor is optional and off by default; data leaves ReadyForward to that vendor only if the vendor's credentials are configured, and otherwise the service falls back to a local, no-network mode.

We require our subprocessors to protect data consistent with this Policy. We will make the current subprocessor list available and will notify Platforms of any new subprocessor before it begins processing Mover data, giving the Platform a reasonable opportunity to object.
ReadyForward is US-based, and processing occurs in the United States. If personal data of individuals in the EU/UK is processed, transfers rely on appropriate transfer safeguards, such as the EU/UK Standard Contractual Clauses, together with any supplementary measures required. Because ReadyForward is directed to U.S. residents and U.S. mailing addresses, we do not believe a GDPR Art. 27 representative or Art. 37 Data Protection Officer is required; we will appoint one if and where the law requires.
These Data Processing Terms ("DPT") apply where ReadyForward processes Mover personal data on a Platform's behalf and are incorporated into the Terms. They are intended to satisfy GDPR Art. 28(3) and to establish ReadyForward as a CCPA/CPRA "service provider." A separate signed Data Processing Agreement may replace or supplement these terms.
III.1 Roles and scope. The Platform is the controller and ReadyForward is the processor / service provider. ReadyForward processes Mover personal data only to provide the service described in the Terms.
III.2 Instructions. ReadyForward will process Mover personal data only on the Platform's documented instructions (these Terms, the applicable order form, and API calls), unless required by law, in which case it will inform the Platform where legally permitted.
III.3 Service-provider / purpose limitation (CCPA/CPRA). ReadyForward will not (a) sell or share the personal data; (b) retain, use, or disclose it for any purpose other than providing the service, or outside the direct business relationship, except as permitted by law; or (c) combine it with data from other sources except as permitted for a service provider. ReadyForward certifies that it understands and will comply with these restrictions.
III.4 Confidentiality. Personnel authorized to process the data are bound by confidentiality obligations.
III.5 Security. ReadyForward maintains the technical and organizational measures described in Section P.9, appropriate to the risk (GDPR Art. 32).
III.6 Subprocessors. The Platform provides general authorization for ReadyForward to use the subprocessors listed in Section P.10 and any successors, subject to the notice-and-objection process there (GDPR Art. 28(2)/(4)). ReadyForward remains responsible for its subprocessors' performance.
III.7 Data-subject requests. ReadyForward will assist the Platform, by appropriate measures, in responding to Mover requests to exercise their rights (Section P.7–P.8), and will forward to the Platform any request it receives that relates to the Platform's data.
III.8 Assistance. Taking into account the nature of processing, ReadyForward will assist the Platform with security, breach notification (Arts. 33–34), data-protection impact assessments, and prior consultation (Arts. 32–36).
III.9 Breach notification. ReadyForward will notify the Platform without undue delay after becoming aware of a personal-data breach affecting the Platform's data, with the information reasonably available.
III.10 Deletion / return. On termination, and in the ordinary course under the retention schedule in Section P.5, ReadyForward deletes Mover personal data, unless retention is required by law.
III.11 Audits. ReadyForward will make available information reasonably necessary to demonstrate compliance with Art. 28 and allow for audits, subject to reasonable confidentiality and security conditions.
III.12 International transfers. Transfers of EU/UK personal data are governed by the mechanism identified in Section P.11.
